Volunteer Departments

(Subject to change. The responsibilities may vary according to the requirements of the event.)

Volunteers will be assigned to various departments based on their skill set, at the sole discretion of the Volunteer Manager, including, but not limited to:

  • Registration

The Registration team is one of the largest and most vital teams at OTM! As a volunteer in this department, you will play a key role in creating a smooth, efficient check-in experience for Exhibitors, Accredited Media, Hosted Buyers, Trade Visitors, VIPs, and Invitees. From managing registration desks to assisting with self-check-in kiosks, scanning points, crowd management, and badge printing, you’ll ensure every attendee feels welcomed and informed.

  • Conference Area Management

As a member of this team, you’ll be at the forefront of creating a seamless conference experience! You’ll ensure the venue is clean and prepared for each session, manage smooth transitions between talks, and coordinate Q&A sessions. Working alongside event staff, you’ll tackle any challenges, help maintain order, liaise with security, and assist attendees with navigation.

  • Lounge Management

As a Lounge Management Volunteer, you will play a crucial role in ensuring a comfortable and welcoming environment in the Lounge/ Dining area during the event. You will help at the reception desk, manage the space, monitor guest flow, assist attendees, maintain cleanliness and order, and serve as an information point for guests.

  • Hosted Buyer Assistance

Join our team and play an important role in supporting our Hosted Buyers throughout their time at OTM. You’ll interact closely with them, understand their requirements, assist with queries, and help ensure they have a smooth and productive experience at the show. As a key point of contact between Hosted Buyers and the event team, this role gives you the opportunity to build professional relationships with leading travel buyers while developing strong communication, coordination, and hospitality skills.

  • Social Media Team

As a Social Media Volunteer at OTM, you'll work with the marketing and PR teams, and assist in creating engaging content, respond to inquiries, and maintain an active social media presence throughout the event. Your tasks will include capturing video bytes of exhibitors and visitors, developing OTM-relevant caption ideas, and using an aesthetic eye to record social media content. Your work will help grow the event's online community and expand its reach.

  • Videography & Video Editing

As a volunteer in this department, you will play a key role in capturing the event's essence through video. Your responsibilities will include filming key moments, such as keynote sessions, panel discussions, exhibitor activities, and networking events and ensuring that all important highlights are documented. You will also help edit footage, create promotional content, and ensure smooth video coverage throughout the event. Your work will help bring the OTM experience to life for both attendees and future audiences.

  • Information Desk Management

This role offers a great opportunity to engage with attendees and ensure they have a positive event experience. You’ll greet guests at the Help Desk, provide accurate information about programs, panel discussions, locations and assist with venue navigation. Additionally, you'll maintain a well-organized desk and collaborate with volunteers and staff to address any inquiries.

  • Event Support

Join our team as an Event Support Volunteer at OTM, providing flexible support across various departments. Your tasks will include manning entry/exit scanning points, escorting exhibitors to their stalls, stocking materials at counters, and offering relief support in high-traffic areas.
